Summary: The Associate - Onboarding at Waystone is an integral part of the team, working closely with the Managing Directors, Executive Directors, Directors, Associate Directors and other employees across all business units to ensure onboarding and client service delivery across business unit product lines. The incumbent shall also be responsible for support functions including database maintenance tasks for client engagement files, Document Execution Form (“DEF”) workflow, key projects and other support for quality client service delivery.

Essential Duties And Responsibilities

  • Take full responsibility for the drafting of onboarding documents such as services agreements and schedules for new launches and existing companies, across various product lines, and ensure the process is completed in an efficient manner.
  • Independently review proposals and other documents as part of onboarding and quality control of service levels, including a 24-hour turnaround on all communications and timely saving of relevant information to Salesforce.
  • Demonstrate understanding of the operational risk associated with clients, including a complete understanding of relevant Waystone policies & procedures concerning onboarding and maintenance of service(s) agreement(s).
  • Managing the Document Execution Form (“DEF”) workflows for agreements and other transaction documentation prior to document execution.
  • Follow up appropriately with Associate Directors and Directors to ensure timely turnaround of documentation.
  • Provide Associate support for Director and AML Officer transition projects.
  • Monitor status of new engagements across the business and help drive timely completion of onboarding.
  • Share key learning and knowledge lessons at team meetings.
  • Provide excellent customer service and independently liaise in a professional manner with internal and external parties.
  • Identify opportunities for cross-selling Waystone products.
  • Take responsibility for entity status, regulatory and service provider information in Salesforce.
  • Maintain professional interaction with internal and external parties in conversations by telephone or emails.
  • Foster a positive environment through open communication and willingness to work efficiently and effectively with others.
  • Be able/willing to take on additional duties as and when required. Assist colleagues when capacity permits and notify Manager with availability.
  • Manage and present tracking schedules regarding progress on onboarding at regular team meetings.
  • Assist in the training of new staff members.

Education

  • Bachelors’ degree or internationally recognized professional qualification

Preferred Experience

  • Minimum of 2 years’ financial services experience.
  • A knowledge of fund structures, fund documentation, legal contracts, and regulatory requirements will be an advantage.
  • Must be able to work in a fast-paced environment, including reporting and providing support to various members of a large team and diverse client portfolio of Cayman domiciled hedge funds, private funds and companies.
  • Outstanding time management, organizational skills, oral/written communication skills, critical thinking and attention to detail is required.
  • Be highly adaptable and have impeccable oral and written communication skills across all disciplines.
