Job Summary
The Accounting Assistant provides administrative and accounting support to the Finance Department by ensuring the accurate and timely recording of financial transactions. The role assists in managing accounts payable and receivable, sales and inventory reconciliations, bank transactions, financial documentation, and compliance with company policies. In the food and beverage industry, the Accounting Assistant works closely with purchasing, warehouse, production, operations, and sales teams to ensure the accuracy of inventory costs, supplier payments, and daily sales reporting.
Key Duties and Responsibilities
General Accounting
- Record daily financial transactions in the accounting system accurately and on time.
- Prepare journal entries, payment vouchers, official receipts, and supporting accounting documents.
- Maintain complete and organized accounting records.
- Assist in month-end and year-end closing activities.
Accounts Payable
- Verify supplier invoices against purchase orders, delivery receipts, and receiving reports.
- Prepare payment requests and payment schedules.
- Monitor payment due dates to ensure timely settlement of supplier obligations.
- Reconcile supplier statements and resolve billing discrepancies.
Accounts Receivable
- Prepare customer invoices and statements of account.
- Record customer payments and maintain accurate accounts receivable records.
- Monitor outstanding receivables and coordinate collection activities with the Sales Department.
Cash and Bank Transactions
- Assist in monitoring and replenishing petty cash funds.
- Prepare bank deposit slips and record cash receipts.
- Assist in performing monthly bank reconciliations.
- Verify cash collections and ensure proper documentation.
Sales Reconciliation
- Reconcile daily sales from restaurants, cafés, retail stores, or other business outlets against cash, credit card, online payment, and delivery platform collections.
- Investigate and report sales discrepancies for immediate resolution.
Inventory Accounting Support
- Assist in monitoring inventory movements and related documentation.
- Reconcile inventory records with warehouse and production reports.
- Support periodic physical inventory counts of food ingredients, beverages, packaging materials, and finished goods.
- Assist in identifying inventory variances and preparing adjustment documentation.
- Investigate and report sales discrepancies for immediate resolution.
- Prepare aging reports for management review.
Administrative Support
- Maintain organized filing systems for accounting documents.
- Coordinate with purchasing, warehouse, production, operations, and sales teams regarding accounting-related concerns.
- Perform other accounting and administrative duties as assigned.
Job Qualifications
- Bachelor's degree in Accountancy, Accounting Technology, Financial Management, or a related business course.
- At least 1–2 years of accounting experience, preferably in the food and beverage, hospitality, manufacturing, or retail industry.
- Fresh graduates with relevant internship or accounting experience may also be considered.
